Office storage planning is important for a variety of reasons. Storage is more than just “shelving that we put our stuff on.” It can be an important cog in the machine of your business! Like any machine, if one cog doesn’t perform the way it should, the machine can be less productive, make strange noises, under perform, and worst case scenario- even break down entirely. Thus, it’s important to have a storage plan, and while most business only need to think about storage when they move, grow, expand, or contract- at Foothills Systems, we think about storage planning all the time! After 40 years of helping businesses plan their storage, we’ve gotten pretty darn good at it.

Storage

Storage is pretty straightforward, right? It’s the way you manage your stuff- from your active files, to archives, to office supplies, and whatever else your office needs to have on site. It’s easy to think “I’ll just buy some shelving for this stuff’, but what key factors should you consider? At Foothills Systems, we look at:

  • Your Stuff Whatever it might be! It’s important to understand the dimensions of whatever you’re storing, so we can tailor our solution to the most efficient fit. For example, three 12” boxes will fit perfectly on a 36” shelf, while a 42” shelf leaves 8” of wasted space.
  • Room Layout We take measurements of everything in the room, starting with walls, doors, light switches, power outlets, light fixtures, sprinklers… and whatever else may be in the room. This helps us determine which configuration of shelves, based on your stuff, will best fit the room.

Productivity & Accessibility

Productivity and Accessibility go hand in hand. Productivity can be either damaged or enhanced by a great storage layout. Once we understand the shapes, sizes, and weights of your stuff, and we know the layout of your room, we need to consider:

  • Visual Access refers to whether you can see what you’re looking for. In an archive room where files aren’t accessed often, it may be OK to have boxes two or three layers deep (behind one another). In a more active retrieval situation, seeing what you need instantly can help avoid wasting time moving boxes around to find the one you are looking for. We find that to be a major concern for many of our customers- when staff moves boxes around to find something, those boxes usually don’t make their way home. This causes disorganization, leading to worse productivity.
  • Instant Physical Access can eliminate the same issues as above- by having the right number of shelves, you may be able to avoid moving boxes stacked on top of the one you need. Again, making it easier to stay organized and improve retrieval times.

Control

Control is extremely important to many of our customers. With central filing rooms becoming more prominent in offices, there are often sensitive financial or human resources files being stored along side client files, brochures, office supplies, and other “stuff”. At Foothills Systems, we can design a system to:

  • Restrict access to sensitive files with a variety of accessories, including key locking ergo handles on our Mizer mobile storage systems, low-profile Tambour doors which roll down the front of your shelving and lock by key, and Swinging doors which are a more traditional security feature, but require a little more space.

Environment / Ergonomics

Environment / Ergonomics are two areas that vary widely in importance among our clients. For some, green initiatives are rewarded by tax incentives, enhance corporate image, or are even required by corporate policies. Ergonomics are particularly important in active file areas, where files are accessed regularly throughout each work day. Foothills Systems’ experts can plan accordingly with:

  • Mobilized Storage, which can condense shelving into half the floor space versus traditional shelving layouts. This shelving is fitted on steel chassis with wheels which roll close together. Aisles can be opened by turning our ergonomic handle when access is required, eliminating wasted floor space for unused aisles. This can cut down on initial building costs, materials, and in the long run saves on utility consumption such as heating and electricity.
  • Precise Planning of traditional or static shelving. When shelving is planned exactly according to your stuff, and your space, you can eliminate wasted shelf and floor space which can really add up.
  • Personalized Products like shelving that is specifically planned not to exceed heights, or that plan for the most often accessed items being at counter-height. Additional accessories can further enhance ergonomics, like counter-height reference shelves that pull out from the shelving to create an instant work space for a quick addition or reference to a file.
